This policy explains how Travel Meets Adventure LLC collects, uses, and shares personal information connected with our website and online travel inquiries, describes cookies and browser storage used by our website, and sets out the terms for using our website. In this document, “we,” “us,” and “our” mean Travel Meets Adventure LLC; “you” means a website visitor or person interacting with us online. Our “website” includes travelmeetsadventure.com and the pages, forms, and online features we operate.

The Privacy Policy describes our information practices. The Terms of Use govern website use to the extent enforceable under applicable law. Visiting our website does not by itself provide consent to marketing, optional tracking, or promotional use of your image where separate consent is required. Travel planning and bookings remain subject to our separate client agreements and applicable supplier terms.

Privacy Policy

1. Information we collect

Depending on your interaction with us, we may collect contact details such as your name, email address, telephone number, mailing address, and communication preferences; travel inquiry details such as destinations, dates, departure locations, budget, room or cabin preferences, and group information; and communications such as form submissions, emails, consultation requests, and client portal messages.

For requested travel services, we may also collect legal names, dates of birth, citizenship or residency information, passport or other travel document details, loyalty and known traveler numbers, and other information required by a supplier or government process. We may receive mobility, dietary, accessibility, or other accommodation details you choose to provide. Please provide only information needed for your requested service.

Payment-related information may include billing details, cardholder name, card brand and last four digits, authorizations, invoices, transaction amounts and dates, and payment communications. Website hosting and security services may process technical information such as IP addresses and browser or device details to deliver and protect the website. Embedded services may receive additional information as described in the cookie section below. We may also receive information you provide through our social media accounts, advertisements, or linked services.

2. How we collect and use information

We receive information directly when you contact us, submit forms, request a consultation, subscribe to communications, provide traveler details, or make or authorize a payment. We may receive information from a family member, group organizer, authorized payer, supplier, host agency, or service provider involved in your request. If you provide information about another person, you must have authority to do so. Adult travelers may need to separately verify their information and accept client agreements.

We use information to answer inquiries; research, plan, arrange, and support travel; communicate with travelers and suppliers; manage reservations and business records; process authorized payments; communicate requested accommodations; send trip updates; and provide client support. We may also use information to send permitted marketing, understand website use, improve services, prevent fraud and security threats, resolve payment disputes, comply with law, and establish or defend legal rights. Additional purposes will be disclosed when information is collected or used with your authorization as required.

3. When we share information

We may provide information reasonably necessary for requested travel to airlines, cruise lines, hotels, resorts, tour operators, destination management companies, transportation and excursion providers, attractions, insurers, host agencies, consortia, and other travel providers. Accommodation requests may require sharing relevant sensitive details with the providers responsible for the requested service.

We may also share information with providers supporting website hosting, client management, scheduling, email, electronic signatures, payments, accounting, storage, security, and marketing. Independent suppliers and platforms may process information under their own privacy notices. We do not control their independent practices.

We use JourneyFuse for email marketing and are transitioning client management and landing pages to JourneyFuse, with Stripe for payments through that platform. During our transition, we also use TERN for landing pages and client management, and Travelfy and TESS in connection with Outside Agents. We are transitioning to Nest Plus as our host agency. These providers may receive information needed for their role in our services. Systems used for a particular inquiry or booking depend on when and how it is handled. Changing systems does not automatically delete records needed for existing reservations, commissions, accounting, disputes, or other lawful recordkeeping.

We use Facebook and Instagram for social media and marketing. When you interact with our accounts, advertisements, or forms on those platforms, the platform may process information under its own privacy policy, and we may receive information you submit or make available to us. Our website's Facebook links are ordinary links; they do not load Facebook scripts, embeds, or a Meta Pixel. Clicking a link takes you to Facebook, where its privacy practices apply.

Information may be disclosed when reasonably necessary to comply with law or legal process, address fraud or security threats, respond to insurance matters or payment disputes, or protect legal rights. It may also be disclosed or transferred in connection with a business sale, merger, restructuring, or similar transaction, subject to applicable law.

International travel and use of service providers may require information to be processed outside the United States. Privacy laws in other countries may differ from those where you live.

4. Payment and sensitive information

Use only our approved secure payment, supplier, host agency, or payment processing methods for full card credentials. Do not send a full payment card number, security code, passport copy, or unnecessary medical details through a general website contact form, ordinary email, unsecured text, or social media message. Contact us for the appropriate method.

Our retained payment authorization records are not intended to store full card numbers or card security codes. We may retain limited payment and authorization records needed for accounting, business administration, disputes, or legal obligations.

Providing passport, medical, disability, or accessibility information for travel planning does not authorize its promotional use. Identifiable photographs, videos, testimonials, or sensitive personal stories used in our marketing require appropriate separate permission or another lawful basis.

5. Cookies, embedded services, and browser storage

Cookies are small files placed on or read from your browser. Local storage lets a website save information in your browser between visits. Embedded services and externally loaded files can also send technical information to another provider even when no cookie is set.

Our current website does not use Google Analytics, Google Ads tags, Meta Pixel, or other analytics or advertising trackers. We do not use website tracking tags to measure visitors, build advertising audiences, or report website activity to advertising platforms. This statement concerns our website code; independent embedded services may process information under their own policies as described below.

Calendly scheduling. Our Contact page automatically loads the Calendly script and booking calendar when you open the page. Calendly may receive device, browser, and connection information, set its own cookies, and process information you enter to book an appointment, such as your name, email address, and trip details. We receive the appointment information needed to handle your request. Calendly's own privacy and cookie practices apply to its service.

YouTube videos. Some trip pages load embedded YouTube players using privacy-enhanced mode through youtube-nocookie.com. This mode is intended to limit tracking before you interact with the video, but it does not mean the player makes no connection to YouTube or that no information is processed. Playing or interacting with a video may allow YouTube or Google to process viewing, device, and connection information under their policies.

Passport checklist. If you check items or enter a trip date in our passport checklist tool, that progress is saved in local storage on your device so it can be remembered on a return visit. This checklist information is not transmitted to us, and we cannot view it. Clearing the website's local storage removes saved progress.

Login sessions. Backend authentication may use browser storage to maintain a signed-in session in administrative or preview functions. Ordinary website visitors are not required to sign in. This storage supports authentication when those functions are used.

Google Fonts. The website loads the Fraunces and Manrope fonts from Google's servers. Loading the font files sends your IP address and standard request information to Google. This font delivery does not set cookies on our website.

Your choices. Our website currently has no consent banner, cookie preference panel, or website opt-out control. Calendly and YouTube embeds load automatically on the pages where they appear. You can avoid opening those pages and contact us by email or phone for appointment assistance or trip information. Browser settings may let you block third-party cookies, restrict external content, or clear cookies and local storage; some features may then stop working. These browser choices do not necessarily block every request to an external provider.

Session storage may expire when the session ends; persistent cookies or local storage may remain until removed or expired according to the service configuration. We do not set a fixed duration for third-party cookies. Their providers determine those durations. Checklist progress remains in your browser until cleared by you or your browser.

Email marketing is separate from website tracking. JourneyFuse email campaigns may use tracked links or open measurement where enabled and supported by recipient settings. You may unsubscribe as described below. The absence of website analytics does not mean that independent platforms or email services collect no information.

You may email brenda@travelmeetsadventure.com with “Privacy Request” in the subject line to ask about these practices or exercise applicable privacy rights. A request sent to us does not itself prevent your browser from connecting to embedded providers. Independent providers also offer their own privacy choices. We will update this section if our website technologies or controls change.

6. Marketing choices

We may send travel news, group trip announcements, and promotions as permitted by law and consistent with your choices. You may stop marketing emails using the unsubscribe option in the email or by contacting us. We honor email opt-out requests within 10 business days and may retain a limited suppression record to respect your choice.

Opting out of marketing does not stop necessary reservation, payment, security, legal, or service communications. Submitting a general inquiry does not itself authorize promotional text messages or calls where separate consent is required.

7. Children and minor travelers

Our website is directed to adults and is not intended to collect personal information directly from children under 13. A parent, legal guardian, or appropriately authorized adult should provide a minor's information through our approved travel planning process.

If we learn that information was collected directly online from a child under 13 without consent required by law, we will take appropriate action, including deletion when required. Contact us if you believe this has occurred.

8. Retention, security, and incidents

We retain information for as long as reasonably necessary for travel administration, client support, accounting, tax, insurance, fraud prevention, dispute handling, legal obligations, and business records. Retention varies with the information, reservation, contractual requirements, and applicable law. We may delete, de-identify, or securely dispose of information when it is no longer needed.

We use administrative, technical, and organizational safeguards appropriate to the information and our operations. No internet transmission, website, email system, or electronic storage can be guaranteed completely secure. We evaluate security incidents and provide notifications when required by applicable law. Nothing here limits statutory notification rights.

9. Privacy requests and rights

You may request access to, correction of, or deletion of personal information by emailing brenda@travelmeetsadventure.com with “Privacy Request” in the subject line. Where applicable law provides additional rights, you may also request a portable copy, opt out of sale, sharing, or targeted advertising, or appeal a decision concerning a privacy request.

We review and respond to requests as required by applicable law and may verify your identity or authority before acting. We may retain information needed for active reservations, payment records, contracts, tax, accounting, insurance, security, disputes, or other lawful purposes. Rights and exceptions depend on the laws applicable to you and our business. If you disagree with our response, contact us at the same email address with “Privacy Appeal” in the subject line.

Terms of Use

10. Using our website

By accessing or using the website, you agree to these Terms of Use to the extent enforceable under applicable law. If you do not agree, do not use the website. You may use it for lawful personal purposes and legitimate interactions with our business.

Provide accurate information and do not impersonate another person or use someone else's personal or payment information without authority. Do not use the website for fraud, harassment, malware, unauthorized access, unlawful collection of personal information, infringement, or interference with its operation. We may restrict access reasonably necessary to protect users, systems, our business, or legal rights.

11. Travel information, pricing, and reservations

Website content is general information and marketing material. Destinations, availability, schedules, amenities, travel requirements, and promotions can change. Content does not guarantee weather, safety, accessibility, travel eligibility, supplier performance, or a particular experience, and is not legal, immigration, medical, tax, financial, or insurance coverage advice.

Prices may be examples, starting prices, or limited promotions subject to inventory, eligibility, dates, occupancy, and supplier terms. Each offer's stated inclusions and exclusions apply. Airfare, taxes, fees, gratuities, insurance, transfers, excursions, and professional fees may be additional when not expressly included. Pricing is not guaranteed until the applicable confirmation and payment requirements are met. We may correct errors and outdated information, subject to applicable law and existing agreements.

Visiting the website, joining an email list, or submitting an inquiry does not itself establish a client engagement or confirm a reservation. A booking requires the applicable agreements, traveler details, payment, and confirmation through our or the supplier's booking process.

Travelers must verify current passport, visa, identification, transit, health document, and entry requirements with the appropriate government authorities and suppliers. Requirements depend on citizenship, itinerary, age, and personal circumstances. We cannot guarantee boarding, entry, transit, or participation.

12. Website content, reviews, and promotional permission

Unless indicated otherwise, our original text, guides, branding, graphics, photographs, videos, and designs are owned by or licensed to Travel Meets Adventure LLC. Third-party materials belong to their respective owners.

You may view content for personal, noncommercial information. Reproduction, republication, sale, or commercial exploitation requires permission unless allowed by law.

If you submit content, you must have the right to do so. Submission does not automatically grant permission to use your image, voice, or testimonial in advertising. Promotional use is subject to appropriate documented permission, including a separate media consent when applicable.

Nothing in this policy restricts your right to give an honest review or opinion about our business. We may remove spam, malware, personal information posted without authorization, infringing content, or unlawful material from areas we control. We do not remove reviews solely because they are negative.

13. Third-party services and links

Our website may link to or integrate scheduling tools, client portals, supplier systems, insurance and payment services, maps, social media, and other third-party content. Their own terms and privacy notices apply to their services. A link does not necessarily endorse every statement or practice of the provider.

We do not control independent third-party operations or privacy practices. Review their notices before providing information directly to them. Nothing in this section excludes responsibilities we have under applicable law.

14. Accessibility, availability, and security

If you have difficulty accessing website information, contact brenda@travelmeetsadventure.com or 717-500-6878. We will review the concern and, where reasonably practicable, provide the information in an alternative way. Website accessibility does not guarantee the accessibility of independent travel services or destinations.

The website may be unavailable because of maintenance, hosting issues, technical failures, security incidents, or circumstances beyond our reasonable control. Keep your own devices and accounts secure. If you suspect an impersonated or compromised communication, contact us using known contact information before providing payment or sensitive details.

15. Website disclaimers and liability

To the fullest extent permitted by applicable law, the website and general website content are provided “as is” and “as available.” We do not guarantee uninterrupted, error-free, or completely secure operation, and disclaim implied warranties concerning the website only where legally permitted.

These provisions concern website use. They do not waive rights or exclude liability that cannot legally be waived or excluded, including liability for our fraud, willful misconduct, or gross negligence where exclusion is prohibited. Booked travel remains governed by the applicable client and supplier agreements.

To the extent permitted by law, you agree to indemnify Travel Meets Adventure LLC for third-party claims and reasonable expenses resulting from your unlawful website use, fraud, intentional misconduct, or infringement of another person's rights. This does not require you to indemnify us for our own misconduct or any liability that cannot lawfully be transferred.

16. Governing law and remaining provisions

These website terms are governed by Pennsylvania law, except where applicable law requires otherwise. Proceedings concerning website use or these terms must be brought in a court with jurisdiction in Dauphin County, Pennsylvania, to the extent legally permitted. This does not override mandatory consumer rights or the dispute provisions governing separately booked travel.

If a provision is unenforceable, the remaining provisions continue to apply to the extent permitted by law. Failure to enforce a provision in one instance does not waive future enforcement. This document supplies the general privacy and website use framework; specific services remain subject to their applicable agreements.

17. Changes to this policy

We may update this policy as our services, website, technology, or legal obligations change. The effective date appears at the top. Changes apply prospectively, except as otherwise required by law. We provide additional notice or obtain consent to material changes when required. Website policy changes do not automatically amend agreements for existing bookings.
